Meet Highveld Water (demo)
Highveld Water is a fictional business in Midrand that we use to show how Overalo works. It sells 19 L refills, 5 L bottles and 2 kg and 5 kg ice bags to tuck shops, spaza shops, cafés and gyms, and delivers them with two drivers, Sipho and Lerato, across three delivery zones: North, East and South.
The challenge
Orders came in on WhatsApp and by phone, regulars had their own prices, small orders needed a delivery fee, and everything had to be captured again in Xero.
- Orders were written down in one place and re-typed in another.
- Regulars like Thandi's Tuck Shop and Ridgeview Gym had their own prices, which were easy to miss.
- Orders under R500 needed a delivery fee, which was easy to forget.
- Every invoice was captured twice: once for the customer, once in Xero.
What changes with Overalo
The team captures every order in Overalo. Customer prices and the delivery fee under R500 apply automatically, drivers capture proof of delivery and cash in the driver app, and invoices sync to Xero.
Ordering
Phone and walk-in orders are captured in Overalo, and WhatsApp ordering (with the Softennect add-on) brings orders in for the team to check. Each order gets a reference number, like HW-10482.
Stock
Every sale, load, return and stock take moves the stock ledger. When 5 kg ice bags run low, the team gets a low-stock alert, and the daily stock report shows what's on hand.
Delivery
Orders fall into delivery zones automatically. The office builds each day's route list, and Sipho and Lerato work through their stops in the driver app, capturing a photo, a signature and any cash collected. Cash is reconciled when the trip closes.
Invoicing and Xero
Overalo creates the tax invoice, emails it with the delivery note and statements, and syncs invoices and credit notes to Xero. Delivered, invoiced and in Xero automatically, no retyping.
